This position offers an opportunity to work within a highly confidential and complex environment, managing critical administrative functions to enable the CHRO to focus on strategic priorities. The role is flexible with remote or hybrid work arrangements and is based within the UHR office. The Executive Assistant will serve as a key liaison, managing schedules, coordinating projects, and facilitating communication across various university constituencies. This position requires a proactive individual capable of handling sensitive information, managing multiple priorities, and fostering positive relationships within the university community. **Qualifications** * Bachelor’s degree in business administration, human resources management, public administration, or a related field, OR 3–5 years of progressive experience supporting senior leadership in a similar role. * Proficiency with MS Office Suite and Adobe programs. * Demonstrated ability to handle highly sensitive and confidential information with discretion. * Excellent written and verbal communication skills. * Strong interpersonal skills to interface professionally with all levels of university staff and external partners. * Ability to plan, prioritize, and manage multiple projects with strict deadlines. * Flexibility to respond to urgent requests and adapt to changing priorities. Preferred qualifications include experience working in a university or academic setting, familiarity with budget management, and financial reporting skills. **Responsibilities** * Provide confidential administrative support to the CHRO, including managing calendars, scheduling meetings, and coordinating logistics for internal and external engagements. * Assist with the preparation of agendas, meeting materials, and follow\-up documentation to ensure effective meeting execution. * Act as a liaison between the CHRO and university stakeholders, filtering requests and managing information flow. * Support onboarding processes for new employees, including coordinating system access and procurement needs. * Manage travel arrangements, expense reimbursements, and invoice processing to ensure smooth operational workflows. * Track and monitor office expenses, identifying opportunities for cost savings and efficiency improvements. * Assist in developing and maintaining office policies, procedures, and documentation to promote organizational consistency. * Leverage AI tools and technology to streamline workflows and improve productivity. * Coordinate and manage projects and standing committees led by the CHRO, including timelines, agendas, and deliverables. * Create and maintain dashboards, reports, and other tools to support decision\-making and departmental accountability. * Handle correspondence and facilitate communication between departments and external partners on behalf of the CHRO. * Draft, review, and edit internal and external communications, ensuring clarity and professionalism. * Perform additional duties as required to support the department’s operational and strategic goals. **Benefits** * Competitive salary commensurate with experience and qualifications. * Flexible work arrangements including remote or hybrid options. * Comprehensive health insurance plans. * Retirement plan options. * Paid time off and holidays. * Professional development opportunities and tuition assistance. * Supportive work environment emphasizing diversity and inclusion.
