**About The Role**
We are seeking a highly organized and proactive Administrative Assistant to support our teams working on exciting projects across the United States. This role offers flexibility with hybrid and fully remote work arrangements, with the expectation that hybrid employees work from the office 2\-3 days per week. The position is based in key locations including Chicago, Houston, and San Francisco, or remotely in Illinois, Texas, California, Utah, and Washington. The standard work hours are from 8:30 a.m. to 5:30 p.m. West Coast time. This isn't a typical administrative role; it provides an opportunity to be at the heart of our operations, supporting senior leadership, engaging with clients, and contributing to various initiatives such as team management, marketing, and social media strategies. The successful candidate will serve as a trusted partner to senior partners, managing complex calendars, coordinating meetings, supporting client engagement, and handling administrative and financial processes seamlessly. This role is perfect for someone who thrives in a fast\-paced environment, is detail\-oriented, and enjoys making a tangible impact on organizational success.
**Qualifications**
* Bachelor's Degree or equivalent work experience
* Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
* Experience with internal collaboration tools and messaging systems (e.g., MS Teams)
* Familiarity with CRM systems such as Microsoft Dynamics (a plus)
* Experience supporting senior stakeholders in a professional services environment
* Exceptional organizational and prioritization skills
* Excellent written and verbal communication abilities
* Proactive mindset with a flexible and positive attitude
* High attention to detail, accuracy, and discretion
* Ability to work independently and collaboratively across teams
* Experience with AI tools in administrative functions is a plus
**Responsibilities**
* Act as a trusted partner to three senior Partners, managing complex calendars and follow\-ups across multiple time zones
* Coordinate travel arrangements, manage expenses, and support budget preparation and tracking
* Schedule and facilitate internal and external meetings, client engagements, and senior\-level interactions
* Support client\-facing project work including scheduling, contract coordination, CRM updates, and deliverables
* Maintain and enhance client engagement infrastructure, including contact databases and outbound communication initiatives
* Oversee financial and administrative tasks such as expense management, invoice processing, and budget monitoring
* Provide coverage and support for other Administrative Assistants as needed, fostering teamwork and collaboration
* Assist in marketing initiatives, social media strategy, and team management activities
