**About The Role**
To support our dynamic teams working on exciting projects across North America, we are seeking a highly organized and proactive Administrative Assistant. This role is based in the United States and offers flexibility with hybrid and fully remote work arrangements. Hybrid employees are expected to work from the office 2\-3 days per week, primarily in Chicago, Houston, or San Francisco, while remote options are available in Illinois, Texas, California, Utah, and Washington. The standard work hours are from 8:30 a.m. to 5:30 p.m. West Coast time. This position is not your typical administrative role; it provides an opportunity to work closely with senior leadership, support client engagement initiatives, and contribute to marketing and social media strategies. The successful candidate will be integral to ensuring smooth daily operations, managing complex calendars, coordinating meetings, and supporting project and financial activities. Beyond administrative duties, there are opportunities to engage in team management, business development, and client relationship management, making this a role with significant variety and growth potential.
**Qualifications**
* Bachelor’s Degree or equivalent work experience
* Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
* Experience with internal collaboration tools and messaging systems such as MS Teams
* Familiarity with CRM systems like Microsoft Dynamics is a plus
* Experience supporting senior stakeholders in fast\-paced professional environments
* Exceptional organizational and prioritization skills
* Excellent written and verbal communication abilities
* Proactive, flexible, and positive attitude with a customer\-service orientation
* High attention to detail and accuracy
* Discretion and professionalism in handling confidential information
* Ability to work independently and collaboratively across teams
* Experience with AI tools in administrative or office management is a plus
**Responsibilities**
* Act as a trusted partner to senior leaders, managing complex calendars across multiple time zones
* Coordinate travel arrangements, expense reports, and budget tracking for senior stakeholders
* Support the preparation and follow\-up of internal and external meetings, including client engagements and senior\-level interactions
* Assist with client\-facing project activities such as scheduling, contract management, and CRM updates
* Maintain and improve client engagement infrastructure, including contact databases and outbound communication initiatives
* Oversee administrative processes such as expense management, invoicing, and financial tracking
* Support team management activities and provide coverage for other administrative team members as needed
* Participate in marketing initiatives and social media strategies to enhance client and internal engagement
* Ensure seamless day\-to\-day operations and anticipate the needs of leadership and teams
