**Job Description:**

The Legal Operations Virtual Assistant role with Job Duck offers the opportunity to take ownership of a highly dynamic, client focused position that directly supports the day to day operations of a growing legal practice. This role combines legal support, client intake, marketing coordination, and client experience into one cohesive function, allowing you to contribute meaningfully across multiple areas of the business. You will play a key role in maintaining organized workflows, ensuring timely communication, and executing structured processes that keep operations moving forward smoothly. The position is ideal for someone who thrives in fast paced environments, values precision, and takes initiative to complete tasks without constant supervision. Success in this role comes from being proactive, detail oriented, and committed to delivering a high level of client care.

• Compensation Range: $1,060 to $1,150 USD

Responsibilities include, but are not limited to:

  • Maintain accurate and up to date records in CRM systems
  • Answer and manage all inbound calls using structured intake protocols
  • Assist in maintaining structured processes and improving operational efficiency
  • Proactively identify pending tasks and ensure completion or escalation as needed
  • Ensure all daily, weekly, and monthly workflows are completed on time
  • Support follow up communications and client satisfaction efforts
  • Support execution of digital marketing tasks and content posting
  • Track referrals and manage client onboarding processes
  • Coordinate with external vendors for marketing and operational tasks
  • Monitor and respond to messages, comments, and reviews across platforms
  • Organize case files, documentation, and case tracking systems
  • Process retainers, invoices, and monitor payment status
  • Manage scheduling, calendar coordination, and court date tracking
  • Respond to inbound leads promptly and qualify potential clients

Requirements:

  • 2 or more years of experience in legal support, intake, administrative support, or related roles
  • Strong English proficiency with clear and professional communication
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong follow through and accountability
  • Proactive mindset with the ability to take initiative and complete tasks independently
  • Experience working with CRM systems and managing client data
  • Ability to handle client interactions with empathy and professionalism
  • Strong problem solving and analytical thinking skills
  • Comfortable managing billing, invoicing, and payment tracking
