Position Overview
We are seeking a highly organized, dependable, and detail oriented Administrative \& Customer Support Assistant to support the daily operations of our growing business. This position serves as a central point of communication between customers, vendors, site managers, and internal staff.
The ideal candidate is professional, resourceful, comfortable speaking with customers on the phone, and capable of managing multiple tasks simultaneously while maintaining excellent organization and follow through.
Key Responsibilities:
Customer Service \& Communication
* Answer incoming calls from our customer service line.
* Assist customers with questions, concerns, and service requests.
* Log all customer communications and maintain accurate records.
* Respond to customer inquiries via email and phone in a timely and professional manner.
* Escalate issues to management when necessary.
Administrative Support
* Perform data entry and maintain accurate records.
* Organize digital documents, files, and operational data.
* Assist with maintaining spreadsheets, reports, and databases.
* Ensure customer and vendor information is current and accurate.
Vendor \& Repair Coordination
* Research vendors, contractors, and service providers.
* Contact vendors to obtain information, pricing, availability, and service updates.
* Coordinate repair requests and maintenance services.
* Support site managers by scheduling, tracking, and following up on repair projects.
* Maintain documentation related to maintenance and vendor communications.
Supply Management
* Monitor inventory and office supply levels.
* Place supply orders as needed.
* Track deliveries and communicate order status to management.
General Administrative Duties
* Assist management with special projects and operational initiatives.
* Maintain organized records and ensure documentation is easily accessible.
* Support process improvement and administrative efficiency efforts.
* Perform other administrative duties as assigned.
Qualifications:
Required
* Excellent verbal and written communication skills.
* Strong organizational and time\-management abilities.
* Ability to multitask and prioritize effectively.
* Proficiency with Microsoft Office and Google Workspace.
* Comfortable learning new software and technology platforms.
* Professional phone etiquette.
* Strong attention to detail.

* Previous customer service experience.
